| Job Description General Purpose Provides support to NI Management team in administration, transactional and co-ordination activities. Acts as a personal assistant to Head of the Business Line in the region and supports the BL heads daily work activities. Main Responsibility Areas Administrative Tasks: - Create, Maintain and Update Intranet Pages - WTR administration, run reports, create entries and send reminders - Make travel arrangements, process and check claims for the team members - Meeting administration, arrange, as well as keep the minutes and action register - Create, maintain and update the distribution lists - Keep the contact information and lists - Coordinate activities between functions - Maintains and prepare confidential organisational information (HC, Structure, awards etc…) - Co-ordinate PMA activities (Dates, Assessors, Results, AP distribution) Financial related Tasks: - Prepare and complete monthly SPC Transfers - Maintain and control the Asset List for Mobiles, Computers, … - Maintain, update and track the contractors (list) - Maintain statistics (days/month, cost/day, contractrs/project and other relevant metrics) Communication Tasks: - Distribute the information as required (incoming/outgoing) - Co-ordinate the department level communication sessions - Compile and/or translate the presentations when required Statistics and Reporting related tasks: - Keep and Maintains the travel statistics (ie. Total travel days/month, Total expences/CC…) - Track and Maintains the basic statistics of other expences. - Track and Maintain the people development statistics (Track LC days/month/CC) - Track and Maintain the other defined statistics Individual Portfolio Previous experience required, but also equal experience in co-ordination etc. activities will be also suitable. Typically in position 1-2 years based on performance and personal development possibilities in project management. Degree or equivalent required. Some travel required to quarterly management meetings and to project management audits. Does not require close supervision, but coaching from SLM is expected. The person gathers relevant information to support problem solving and desicion making. Scope Individual Contributor: Participates as individual contributor to team, usually in a support role or entry level professional. Impact Accountable for quality and accuracy of own objectives, performance objectives and development plan set on 6 months at each time. |
